Tools that are necessary in my photography business

While some tools make managing a business easier, others are absolutely essential for running a professional, efficient, and sustainable photography business.
These are the non-negotiables I rely on every day to keep things running smoothly and ensure a great client experience throughout each of the services I provide.
1. Professional Gallery Delivery
Delivering images is arguably the most important parts of the client experience. It’s the culmination of my clients investment in themselves and and Pic-Time ensures this final step is seamless.
It allows clients to view, download, and purchase prints in a beautifully designed, easy-to-navigate gallery.
Sure, I could use another method such as WeTransfer or Google Drive, but having a professional platform elevates my brand and simplifies the entire process which means clients return to me again and again.
2. Trustworthy Kit That I Know Inside Out
You don’t need the most expensive gear, but you do need it to be reliable. Equipment that you understand and can use with ease, will ensure you enter each shoot with confidence.
My camera, lenses, memory cards, lighting and even my camera bags, are all shoot staples I trust to perform under pressure.
Spending time getting to know all my gear inside and out means I can focus on capturing the moment instead of worrying about possible technical issues. If something does go wrong, I can correct it, or use my back up kit.
3. A Solid CRM: Keeping Everything Organised
A Customer Relationship Management (CRM) system is a game changer for keeping track of client inquiries, contracts, invoices, and worflows. Without it, I’d be drowning in admin!
My CRM streamlines everything, making project management easy and smooth so I never miss a lead or forget a follow-up.
I use Studio Ninja which is designed specifically for Photographers. If you’re ready to upgrade your system, use this code for 20% off - BJJW37FYCM73GM.
4. Business Insurance: Protecting Myself & My Clients
Insurance might not be as glamorous a shiny new lens, but it’s absolutely necessary.
Whether it’s equipment insurance to cover damage or theft, public liability insurance for on-location shoots, or professional indemnity insurance to protect against unforeseen issues, this is something no photographer should skip.
I use PolicyBee which offers a very customisable level of coverage which is reflected in the price.
